Position Title: Administrative Assistant – Sexual Assault Nurse Examiner (SANE) Program
Category: Permanent Full Time – 5 days per week (35 hours)
Scope of the Position:
The Administrative Assistant reports directly to the SANE Coordinator and is responsible for providing secretarial and administrative support to the SANE Program. This position also provides administrative support to committees and working groups as required.
Duties
Schedule the 24-hour shift coverage for on-call SANE’s and prepare, maintain and distribute the monthly schedule.
Responsible for inputting and maintaining the SANE database and coordinating data required for statistical reporting.
Liaising on a daily basis with SANEs, clients, other service providers, e.g. police, crown, hospital staff, community and government organizations
Assist with planning/scheduling of meetings, appointments, conferences, working groups, and community education sessions and attend same as required.
Prepare and distribute documents, including minutes, reports, pay invoices, policies and educational materials.
Reception duties including responding to information requests related to SANE and other Avalon programs, or referring calls to others as appropriate.
Maintaining office-filing system, responding to incoming/outgoing mail.
Maintain office equipment and office supplies.
Attend staff meetings, Annual General Meeting, and monthly SANE meetings.
Other duties as required of Avalon staff members.
Qualifications and Requirements:
Graduate from a recognized Secretarial or Office Administration Program preferred.
Completion of Medical Terminology course preferred.
Minimum three years experience, ideally in a community and/or health care setting.
Proficient in keyboarding and word processing.
Advanced working knowledge of Microsoft Office Suite & Database programs and Internet navigation skills.
Excellent planning and organizational skills, ability to prioritize and use time management techniques.
Research experience an asset.
Above average written and interpersonal/communication skills.
Ability to maintain confidentiality.
Ability to work independently and as a member of a team.
Ability to work in stressful situations related to sexual assault cases and as part of an active sexual assault centre.
Undergo Criminal Record and Vulnerable Sector check, Child Abuse Registry check
